With this process, you can invite specific people from groups you set up, pick interview times, and control the dates of the interviews.
Interview Group Administration
To administer Interview Groups, click the Interview Groups sub-tab on the Admin tab. Users must be assigned to an Interview Group before the user will be able to schedule interviews and define interview time slots for an interview group.
The functionality to set up a group is below
Below we have successfully built the group ‘Marketing’ with two members, Don Adams and the HRLogix Admin.
Now you set up the interview times. Go to the Calendar tab and select the interview radio button. Also select your interview group from the pull-down. In our case, this is Marketing.
Select the Edit Mode radio button and fill in the schedule with interview times and the number of people you want for the days you want.
Select Save at the bottom of the page
Invite to Interview Recruiter
As a recruiter, select the candidates tab for a list of applicants to interview
For our example, we will choose Catrina Schuler
Under actions, select the clock icon. This will take you to the page to invite the applicant. You select the group, in our case Marketing. You can select a Type (of interview) and this is optional. You can send an email communication by selecting the ‘Send communication’ box and selecting a letter type. This is also optional. In our example, we chose the ‘Invite to Interview Letter’ template. Note the letter you see includes the code. The applicant will receive a clean letter without the coding items. If you do not select a letter template and just hit Send, the applicant will see an invite when they log into their system and they can select an interview time.
Selecting send will send the letter to the candidate, in this case Catrina.
Going back to Catrina’s record, you can see that an interview has been requested and there is an entry with an ID for the interview.
Within the letter sent, the applicant is asked to select a time. If the recruiter wants to choose the time, select the calendar icon on the ID 140 line. In this case, if I select this calendar icon, it comes up saying there are no interview times. This means I need to set up more times.
The administrator should go back into the calendar for interview times and set more times in the future (times a day in advance will not show).
Now if we go back to Catrina’s record and select the calendar, we can see that the interview times are available. Catrina will see the invitation in her messages when she logs in and can select an interview time. The Recruiter can also use this calendar to select a time for Catrina.
