Statuses in SmashFlyX

In SmashFlyX, there are Three types of statuses - Contact Status, Folder Contact Status, and Job Contact Status. This helps Recruiters and others organize information in various ways for each contact.

Note: As a contact applies to jobs and moves through the job application process, the Contact Status will update to the highest Job Contact Status. This allows Recruiters and others to quickly see that a contact has been hired or is in another stage of a job process.

 

Contact Status

Contact Status of a contact in SmashFlyX is an attribute of the contact that indicates to the users what marketing or nurturing practice should be employed for that particular contact.

It indicates the status of the contact in their journey through the CRM and the talent acquisition process.

There is also the ability to have a dispostion connected to a status that will act as a sub-category. For example, if there is a Status of Contacts, dispositions could be Contacted by Email and Contacted by Phone to further enhance the status.

A specific status may or may not have disposition(s), and statuses and dispositions can be set up per your needs. Examples of statuses and dispositions:

There are several ways to view Contact Status.

First, if you go to a specific contact record, the contact status is listed at the top of the record.

Second, if you go to the Contact section in SmashFlyX, you can also add Contact Status in your column view of contact data:

  • Go to the Contact Section
  • On the right below the search windows is an icon to change the column headings
  • Status3.PNG
  • Select this and check Contact Status as one of your headings and select Done

  • Now Contact Status is part of your contact data

To update the contact status, there are also a few methods. If you are unable to do this, then your permissions do not allow it.

First, in a specific contact record, there is a section for Contact Status. Here there is a link to update the Contact Status

Second, if you go to the Contact section, you can update Contact Status:

  • select one or more contacts. Then in the Action pull-down, there is the option for Mass Update.

  • Select this and the update window will open. Select Contact Status from the Field pull-down and the appropriate new status from the Value pull-down. Then select Update.

Folder Contact Status

When contacts are put in a folder, they can have a specific status for that folder. Hence, if a contact is part of several folders, they could have several specific Folder Contact statuses. As with Contact Status, there is a default set provided. These can be updated if there are specific needs. Also, Disposition as a sub-category of a status can also be created.

To see this, you can go into a specific contact record. There is a section Associate Folders that will show the folders and folder statuses for that contact.

You can also go into a folder and, as with contacts above, add Folder Contact Status as a column header in your data view.

For updating folder status, it is similar to steps discussed in the Contact Status section.

One method is go to the specific contact record and the Associated Folders section. Select the pull-down arrow next to the status and an option appears to update the status

A second method isgGo to the actual folder:

  • Highlight the contacts whose Folder Contact Status you want to update. In the Actions pull down, select mass update

  • Select Folder Status as the Field and the new status you want as the Value and then select Update

Job Contact Status

When contacts are part of a job process, they can have a specific status for that job. Hence, if a contact is part of several job processes, they could have several specific Job Contact statuses. As with other statuses, there is a basic set provided and these can be updated if there are specific needs. Also, Disposition as a sub-category of a status can also be created.

Initially there will be a default set of Job Contact Statuses

Updates and changes can be then made based on need. An example of statuses and dispostions might be:

Also note that Job Status is also a searchable field in the Search window for a specific job

As a contact progresses through the hiring pipeline, the Job Contact Status will continue to change depending on how far the contact is with a particular job application.  Based on the current Job Contact Status, the Contact Status will also change and automatically update to indicate the overall place of where the contact is in the CRM.

The contact status automation rule is: 

Contact Status = The highest post-application Job Contact Status of the contact across all jobs  

For example, one contact has applied for two jobs. For one job, the contact has a status of 'Interview'. For the other job, the contact has a status of 'Hire'. Since the 'Hire' status comes after the 'Interview' status, the Contact Status for the contact will be 'Hire'. To conclude, the Contact Status is the status that is furthest along the contact's ATS journey across all job applications.

To see and update the Job Contact Status, you need to be in the specific job. Job Contact Status is part of the data categories for each contact connected to that job.

To update Job Contact Status, select the contact(s) you want to update. As with Contact Status and Folder Contact Status above, Mass Update is an item in the Actions pull-down. Select this and then use the values to update Job Contact Status.
