- XCloud ATS: Workday Integration
XCloud CRM has the ability to connect to a third party ATS and exchange data and improve the overall Customer Experience. We have successfully integrated with one of the leading ATS providers Workday, Inc. to provide a seamless experience for candidates applying for jobs in a branded experience within XCloud; while at the same time, allowing recruiters to leverage the tools and hiring processes within Workday. Essentially, data for requisitions, candidates, applications, and status in the hiring process will be mirrored in both systems and updated simultaneously in both when changes are made by a user in either system.
Given a job is created in Workday, when it is posted to an external portal, then it will be sent to the XCloud platform and posted to the Career site, and optionally be available to post to media. Once it appears in XCloud career site and external media, people can search and apply for jobs. When such a job is edited in Workday, then the edited version will be sent to the XCloud platform and changes will be posted to the Career site and external media. if a job is closed in Workday, then it will be closed to the XCloud platform and removed from the Career site and external media.
If a candidate clicks to apply to a job on the XCloud site and submit all required information in the questionnaire, then the completed application is sent to Workday, and the application status for that candidate is set to Applicant in XCloud CRM. When a Recruiter moves applicants through the hiring process in the Workday system, their corresponding status will appear in the XCloud CRM so that Job Alerts will message the user appropriately in terms of In Consideration or Hired status. With XCloud and Workday in sync, the system’s apply file capabilities ensure job alerts don’t go out to those who are under consideration. Meanwhile, there’s a clear insight into all stages of the recruitment process, and data can be collected and used for campaigns at a later date. And with an integrated apply process and unified analytical process in place, you can now obtain data, as well as end-to-end results, at all stages of the recruitment process.

How do we personalize the right message and deliver it at the right time to the right individual? We are proud to announce our high engagement campaign vehicle that can be provided to select candidates in the Talent Community. The personalization technology has come a long way and the next step will be the actual content itself for different individuals or companies - it’s all about connecting with your talent and increase their engagement in your message!
A recruiter can create a personalized campaign which includes a personalized thumbnail and a link to a video on the Career Website to see the video. The recruiter has the ability to select from a list of preconfigured email templates, which he/she can further modify as per the appropriate messaging need.
Below is our favorite example of a recent personalized video campaign. Unique details about each viewer are passed smoothly right into the video content itself. Each video can use the first name, last name, area of interest and email to personalize the message to the candidate. Combined with employer branding elements in the email itself (and in the video if produced that way) speaks to that person in a unique, personal and engaging way. If you saw your name on the video, wouldn’t you click to watch? And just wait until you see your own name in action when the video plays...love it!
- XCloud CRM: Automate Tracking of Applications and Hires from Emails
What are the possible ways to track the success of your email marketing efforts?
It is very useful to understand what further actions jobseekers take when they click-through from your email campaign. In order to achieve this, you can manually insert the tags.
How about if we were to automate the process completely so that it requires no human intervention? The URLs in the email campaigns will be identified automatically and an appropriate tag will be placed. This would make the process error-free and once enabled, you can access the reporting tool!
Visits to the career site from a specific email campaign as well as links jobseekers clicked to get here can be tracked. If we were to add tags manually, the process would get time-consuming. With the rollout of this feature, all your links will be tagged without the need of going through the time-consuming process of adding links to each email campaign you aim to send.
On the successful tag generation, you can open the Analytics tool and start tracking the campaign traffic as well as get useful insights. This report can be accessed in X-Cloud by selecting Analytics > Email Overview > Email Details. You can select a particular campaign to see Open rates, Click through rates and additionally - Applies and Hires.

- XCloud ATS: Hiring Manager Updates
Does your organization require to hire for hourly or low-skilled jobs? Is it near impossible to differentiate between resumes, this making recruiter screening an overhead? For such jobs, XCloud ATS allows for a job level configuration that eliminates recruiter screening and allows Hiring Managers to directly screen and provide feedback on applicants
The 'Default Applicant Step’ configuration in the job creation process allows recruiters to specify which one of the following Statuses every applicant to this job directly falls into:
Choosing the 'Candidate' option directly puts anyone who applies into the candidate bucket.
This option is useful for low-skill jobs where screening is best done by the Hiring Manager through a telephonic or face-to-face interaction, instead of recruiters looking at the resume/profile. As shown in the image below, The control field in the requisition creation process can be introduced to clients as per their needs.
Also, Hiring Managers screen and make recommendations on hundreds of profiles in a week, and for reject recommendations, recruiters have no further say. If the Hiring Manager makes a reject recommendation shown below, the candidate can be moved to ‘Reject’ status with the disposition step as ‘Reject’ or ‘Rejected’.
To simplify the interface for Hiring Managers so that they can focus only on actions important to them, certain functionalities can be turned off through configuration and their view will be restricted to read-only. For example, if the client does not wish to give the Hiring Manager access to the candidate’s recent applied jobs history, it can be easily made read-only.
We have made an exciting update with the step changes according to the feedback. In the Past, when a Hiring Manager provides feedback on a Candidate, the feedback is visible to the Recruiter on the Candidate Profile, but any action to be taken is done manually by the Recruiter.
Going forward, with this release, the Candidate Disposition Status will change based on the feedback. This Action is taken by XCloud automatically and helps the Recruiter identify Profiles marked for specific feedback/action.
For each feedback action, the Candidate step is changed as per:
‘Schedule Interview' action: Candidate is moved to ‘Candidate Status’ Step: ’Candidate - Interview Requested'
‘Recommend for Hire' action: Candidate is moved to step: 'Candidate - Recommended for Hire’
‘Recommend for Another Position’ action: ‘Candidate - Reposition Requested’
Reject feedback scenario:
If Reject status change permission is ON in feature permissions, the change of step upon reject feedback will change Status to Rejected and step to ‘Rejected - Rejected in Review’
If Reject status change permission is OFF in feature permissions, the change of step upon reject feedback will change step to ‘Rejected - Rejected in Review’, but status will remain as ‘Candidate’.
- X-Cloud ATS: Speed Hiring with Multiple Interviews Creation in one go
A streamlined experience can be provided to recruiters by letting them offer a range of interview slots to multiple candidates in one go. It helps to reduce time-to-fill by eliminating back-and-forth communication that delays in-person interviews. The feature will allow a recruiter to line up to 25 interviews with no scheduling headaches.
Recruiters can select multiple people in the candidate tab of a job details page or from the candidate profile page within candidate tab and offer a range of time slots to them. Candidates can then choose from the available slots to confirm an interview.
- XCloud Candidate Experience: Plan your trip with new Google Commute Search
Looking to find a job that is in a specific geographic area? Perhaps you are moving somewhere new, or you are looking for a job close to home.
The new addition of Commute search in search algorithms will show jobs within specific commute parameters (e.g., 30-minute commute on public transportation). The commute time filter restricts returned jobs to those within a specified travel time from a start point. Results include the estimated commute time in seconds for matched jobs.
The Drive, Walk, Bike, Public Transit, and Accessible Public Transit methods of transportation can be selected to calculate the commute time. Ever got stuck in traffic on your way to the interview for the job of your dreams? The ‘Traffic Free’ or ‘Rush Hour’ travel conditions can be selected to give you a proper estimate of travel time. You can also add how much maximum travel time you want to configure from your start time.
- XCloud ATS: Feedback filter for Jobs, Analytics on Campaign Pages
The new feedback feature allows Recruiters to easily get to profiles they need to act on, basis feedback received from reviewers of such profiles.
The Feedback filter is added to the Job Search page, to narrow down search results to only those jobs which have candidates that have received some feedback from reviewers. The feedback filter shows the number of such jobs. A recruiter can organize profiles with the feedback icon, and then can view detailed view of profile and act on the feedback.
- XCloud CRM: Campaign Performance Metrics
A feature for Sourcers to understand the performance till the date of a Launched Campaign. Apart from showing the number of recipients selected and emails sent, metrics of Open Rates, Click Through Rate, and Bounces informs the Sources of the health of the campaign. With the quick visualization, Sourcers can understand whether such campaign is yielding the desired result or not, and hence gives them a timely chance to change the communication or the demographic.
Clicking 'View Graph' gives an overview of the campaign's performance over time.
