Messages - Creating and Updating Message Templates

The below article outlines how to create and update message templates in SmashFlyX. Please note:

  • Only experienced administrators should do this
  • You cannot create System messages. These are messages that come as part of the product like Activation Link emails
  • You should not create Job Alert emails. While you may have the ability to do this, we recommend that any changes or additions to Job Alerts be processed through a Zendesk ticket to the SmashFlyX Support team
  • If you find you cannot perform the actions as seen in the video, this is probably a permissions issue and your access to the message area of SmashFlyX will need to be approved.

 Anytime you create a campaign or other email blast, you use a base message template. The templates can be found by going to Content > Messages.

There are system templates that come with the system and should not be touched, such as Password Rest and Activation Link. There are also Job Alert templates (labeled 'autoJob . . ') that should be left alone. If you need changes to these, open a ticket to the Support team and Symphony Talent engineers will make needed updates.

Other types of templates are open to creation and updates, such as campaign templates. You can find these templates and select Preview to see what they look like.

To see how a template is set up, actually select the template name in the row and it will open with editing buttons and other items that can be changed and updated.

First come merge codes on the right. Notice in this template, the text begins Hello [candidate.First Name], with Candidate First Name in brackets. This is not typed. This is a merge code that must be done correctly for the valued to be pulled from the SmashFlyX database. If you just type this as text, then text [Candidate First Name] is exactly what will appear on every email rather than the actual name of the candidate you want. Hence, you must select the merge code from the selection of options on the right. Then the merge code will fill the text part of the template correctly. Notice on the right, the merge code candidate.First Name has been selected. When this was done after the Hello text, the bracketed name appeared and will also be pulled from the database correctly. Similarly, candidate.email was pulled as a merge code and appears as part of the template text as well.

To create a template, go to the upper right of the Messages view and select Create a New Message.

The new message window will open where you can give your template a title.

Select add and the blank template appears with the various functions for creating and editing.

The Message Type will be campaign or interview or a type of your choice that will define what the template is used for.

Note: You cannot create System templates and you should not created Automated Job templates. System templates come with the product and Automated Job templates can be tricky and should be left to the SmashFlyX team to create.

The Subject is the subject that will appear to the contact when the template is sent out via email.

The Email Template is the base email you will begin with. The list is the list of existing templates, in case you have  style you like and want to mimic

The template opens in edit mode. When you want to check what the template will look like, select the Preview Email link on the right. When you want to edit more, switch back to edit mode by selecting </> HTML on the left.

There are the possible Merge codes on the right. When you select one, this is placed into the text window and will pull that value from the SmashFlyX database.

The text window is where you can write and edit text using the text editor buttons along the top. For those familiar with HTML, you can also add images and other items. If you are not a savvy user, a  ticket to support will get the team to help you with images.

When you have the template as you want, scroll to the bottom and select Save in the lower right. The template will now be part of the Message library.
