July 2020 Release adds workflow automation for sourcers and recruiters to manage various repetitive tasks in CRM. Also, recruiters can now filter jobs created by them using the new ‘My Jobs’ filter.

Automation using Workflows in CRM

What’s New:

Workflows enable Talent Marketers to set up automation for segmenting and nurturing contacts as they progress through the Awareness to Hire journey. Sourcers can now focus more on human interaction - leaving repetitive, brand sensitive tasks to SmashFlyX.

What is it?

A workflow is a way to tell the SmashFlyX system - if this happens, then do that. For example, for every new contact that joins your talent community, you’d want to send an email telling them about how your work culture is. You may want to tailor the message to the contact’s area of interest. The Workflows feature gives your Admin users the ability to set this up as a rule, which is acted on automatically by the SmashFlyX system every time a new contact joins your Talent Network.

Workflow has 3 main elements:

First element is Trigger: The ‘When this happens’ of the rule. Once this condition is met, the workflow kicks in. For example, Contact Added To Talent Network.

The Triggers currently supported are listed below:

  • Contact Added (to talent network)
  • Contact Field changed (eg, Area of Interest changed from Sales to Operations)
  • Contact Completed Talent Network Form (eg, filled out a landing page form)

Second element is Action: The ‘then do that’ of the rule. For example, send an email to the contact. Multiple actions can be set up for the same trigger.

The Triggers currently supported are listed below:

  • Send Email
  • Send SMS
  • Change Contact Field

Third element is Filter: The ‘act if’ of the rule. Use one or a combination of filters, to run the action on a subset of the trigger audience.

The Filters currently supported are listed below:

  • Contact Fields. For example, Send the Engineering email if the Area of Interest is ‘Engineering’.

Workflows are available to use under Tools > Workflows. To create a new Workflow, under Tools > Workflows, click Create Workflow. Give the workflow a name and description. Check Select Start Date & End Date if you wish to run the workflow for a specific time range. Please note that this is useful when setting up a workflow to nurture contacts who filled out a landing page form to sign up for an event. Left unchecked, this workflow runs forever, and whenever the trigger condition is met. Click the ‘Create’ button once these details are added.

Now, Click the ‘Add Trigger’ button and on selecting the appropriate trigger, this trigger will be configured.

 Next, click ‘Add Action’ to select the desired action as shown below.

Here, you can execute Action 'x' hours after the trigger so that you can delay the action. For example, Send the Email 3 days after contact joined the talent community

Following this in the last step, you can add more actions/filters, edit/delete triggers, filters, actions, save and close to enable the trigger, save as draft to save your changes and activate at a later date, etc.

You can search your existing workflows by Browsing the list/Searching workflow title/ or by using Filters. Use the dropdown to get a snapshot of a workflow’s configuration. Configure column has options to go into edit mode, delete a workflow, or activate/pause it. The ‘Triggered’ column shows how many times the workflow has run so far.

To allow users of specific roles to be able to create/manage workflows, go to Tools > Feature Permissions > Tools Menu > Enable Workflows.

Jobs Management in CRM

What’s New:

Recruiters can now visit the ‘Jobs’ section to filter jobs created by them for easier management of their jobs.


What is it?

Email ID of the person who created the job in the ATS is received in CRM from the client, as part of the job feed configuration. The Created By field for the respective job gets updated to this user. Recruiters can quickly access their jobs using the ‘My Jobs’ filter.
