October 2020 Release upgrades SmashFlyX CRM’s Campaigns to create, track, and Analyze all campaigning efforts easily across the product.
The old 'Create Message' and 'Send Email' functionality is now replaced with new Send Email, Send SMS flows. An Audience can be built to send email/SMS to - using folders, tags, and filters. Drip Presets can be used to create Drips easily. Additionally, all Campaign data on one page with an ability to organize easily and filter with various parameters.
New Omnichannel Campaigns in CRM
What’s New:
Sourcers and Recruiters are able to use Campaigns/Tactics to send messages easily and with minimal effort without compromising on any messaging flexibility. This enables users to focus on the right messaging, cadence and connect with the Candidates by making Campaigning omnichannel, omnipresent across the product, and effortless.
What is it?
This version of Campaigns is designed to build on existing strengths and integrate multiple campaign features in one structure to make it easy to create, track, and analyze campaigns. Key changes are:
- An All-New “All Campaigns page” (easy accessibility through the Navigation Bar) that shows all Campaigns and their Tactics and Tactic Details.
- Ability to send Emails / SMS and Drip messages to Candidates from a folder (currently available), the Contacts page, Individual Candidate profile, and the All Campaigns page
- Use a Drag and Drop Builder to edit templates (only the ones created through the drag-and-drop builder) on the fly when sending a message
- Users can build a complex audience (set of recipients) by including or excluding candidates associated with specific folders/tags and specific field values (e.g. city). Users also get a sense of the estimated reach before sending the message
- Create Drip Presets, that can be reused to create Drips whenever needed without having to set-up the multiple content templates, cadence and rules needed. Users can select an audience / recipients, select the drip present, and launch the drip (in just 3 easy steps) if no customizations are needed.
- Filter Campaigns data with hundreds of combinations to get the specific insight on what is working and what is not
Campaigns are a collection of tactics. Tactics are unique ways to achieve the goals of expanding the talent community, driving applies, and hires. Some examples are Indeed (Job Board Posting), Banner Ads, Sourcing Emails, Automated Emails, Drip Messages, etc. Tactics are also collections of tactic details.
Whereas, a Tactic Detail is an instance of the tactic. So Indeed Job posting in the context of a specific campaign is an instance of the tactic and is therefore tactic detail. A specific bulk Email send - “John’s Bulk Email - Registered Nurses - 04152020” would be an example of a sourcing email and therefore a tactic detail.
All Campaigns Page: Campaigns and their effectiveness metrics are visible on the All Campaigns page. Filters allow users to search/find specific Campaigns or group of Campaigns, specific tactics/tactic details. Users can customize columns on the All Campaigns page.
Creating a Campaign: Clicking on the “+” on the top right of the All Campaigns page allows a user to start the Campaign Creation process.
Once Campaign Details have been entered - Campaign Name (mandatory), Campaign Group (optional), and Campaign Description (optional), the Campaign is created.
Sending Bulk Email: When a user is inside a Folder or on the Contact Listing Page, Candidates can be selected and “Send Email” chosen from the Actions menu to initiate the Bulk email process. The Tactic Detail (this specific bulk send) Name is auto-populated (user can change) using the name of the user/name of the folder/ date of initiation of the email etc. and a default campaign assigned (can be re-assigned by the user).
A default template (configurable at a client level) is also pre-populated. If the user wants to continue with this, just clicking on “Send Now” at the bottom of the page will complete the Sending process. Other options here are to be able to Preview the Email, Send a Test email, Change the Template and Save this Bulk Send as a Draft.
The user can also choose to click on Schedule to change timings and / or add more messages to create a Drip.
After Launching the Tactic Detail SFX confirms a successful launch and the status is updated accordingly.
Alternatively, Bulk Emails can also be sent from the All Campaigns page by selecting a Campaign and clicking on “Add Tactic” under the Actions menu. This takes the user to a tactic selection page where the user can select “Email” (Email is the default selection) and click o nnext to initiate the Bulk Email process.
Users can select an Audience / Set of Recipients from the Audience builder screen by adding folders/tags and filters.
Once the Audience is configured the next steps are reviewing/changing the default email template and sending/scheduling and launching the email.
Sending Bulk SMS: The user flows mentioned above for Email are all true for SMS as well. The only difference is that SMS does not use templates so after initiating the Bulk SMS process, the user is taken straight to the SMS message creation stage.
While additional messages cannot be added to an SMS to create an SMS Drip, all the other functionality remains the same.
Sending a Drip: At any point while creating and configuring an Email, the user always has an option to add additional emails to the tactic detail and convert it to a Drip.
Apart from that, the user can also use pre-defined Drips or Drip Presets (messages, message templates, and relative schedules are stored as part of the Drip Preset) to send a drip. This is to make it easy to reuse and also make it possible for only a small group to define Drips while a much broader group to use drips whenever needed.
Users can initiate Drips through Drip presets using the same flows as mentioned for Email and SMS above - from the Contact Listing page, From within a folder, and from the All Campaigns page.
Once the Drip preset is chosen and the User clicks “Next”, the system takes the user to the tactic detail buildout/schedule page with the Drip pre-loaded with all the messages, their corresponding templates, recipient definition rules, and schedule for the messages (this is auto-calculated based on the relative time stored in the drip preset). At this point the user can make changes or edits if needed but if not the drip can be simply launched. Any changes made to the drip once the preset is loaded are restricted to that specific drip only and do not change the preset.
Clients may raise a ticket if they want to configure to change the feature permissions for Campaigns for any role.
