January 2021 Release provides new sets of features in CRM adding more workflow automation options, Contact’s Source and Method tracking, and Folder Hierarchy support.
Workflow Configuration Options in CRM
CRM administrators or privileged users can now take advantage of newly available options to communicate with and segment contacts based on their Contact Status and tags.
The new Trigger ‘Contact Folder Status Changed’ will allow users to select various types of statuses/dispositions such as Global Status, Global Disposition, Folder Status, Folder Disposition, Job Folder Status, Job Folder Disposition. On selecting the desired type of status/disposition, the user will be able to choose "From" and "To" Status/Disposition values. Users may choose single, multiple, or no values at all in From and/or To. In case of no selection, the trigger works for any change detected. For example, if From is left blank and To is ‘Candidate’ then a change from any state to Candidate triggers the workflow. Please note that for all Dispositions, the label in dropdown values should be pre-fixed with the status it is associated with.
Once the trigger is selected, the user can choose actions, and add filters on these. For example, ‘Send Email action’ for a trigger configured as Global Status Changed = To be Offered
For all Dispositions, the label in From/To dropdown values is pre-fixed with the status it is associated with. When configuring a trigger for status/ disposition, the From and To dropdowns will list all the configured values for the customer.
Additionally, workflow action can be added to update one or multiple tags on a contact record. CRM users can select the action by clicking ‘Add/Remove Tag(s)’. A delay can be added after the trigger is executed and the user can choose to either to add tag(s) or remove tag(s). Once the action runs, the tags are updated as per workflow.
Contact and Source Method in CRM
When a contact joins the talent network, there’s likely interaction with the brand in many ways before joining. An important aspect of Candidate Relationship Management is to understand the last interaction before they joined, and SmashFlyX empowers users with this information in the form of two key data points:
- Contact Source - what interaction finally led to the contact joining the Talent Network? Eg, I browsed the company’s jobs on Indeed before signing up on the Careers Web Site, then the Contact Source would be Indeed.
- Contact Method - how did the contact join the Talent Network? Eg, I joined the talent community using the talent community sign-up functionality on the career site, then my Contact Method would be ‘Sign Up Form’. If my contact record got created from the Taleo ATS status file integration, then my Contact Method would say ‘Taleo Application'.
Understanding these data points empowers Sourcers with information that can be used for contextual initial conversations, robust pipelining, and targeted brand communication. At the same time, Talent Marketers can use aggregated metrics to understand which of their talent acquisition strategies are attracting more/quality contacts to join the talent network.
Clients who are on SFX Media Platform along with CRM and Career Sites will benefit most from the richness of source data, as all job boards and sites where SFX promotes jobs are potential influencer touch-points, and hence can be attributed as Source.
Clients who have CRM and Career Sites will have limited benefit, as the source from contact sign-ups will almost always be Organic CWS. Method data will be as rich as can be.
This feature is not relevant for clients without SFX CRM.

On a contact record, view Source and Method information to get insights into how/where the contact came in
Filter contacts on the contact listing page by Contact Source & Contact Method and quickly get to all contacts added via bulk import in the last month.
Similarly, Filter contacts on the folder details page by Contact Source & Contact Method for Eg, quickly get to all contacts in your folder who were added to the talent network using Open Web Import and Filter contacts on the job details page by Contact Source & Contact Method For Eg, quickly get to all contacts in your folder who were added to the talent network using Open Web Import. Workflows can also be set up to invite externally imported contacts to opt-in, and expunge them if not opted in within a defined number of days.
You can view and filter by Contact Source and Method on the Contact Details report in analytics (if enabled through feature permissions for your role: Feature Permissions > SFX Analytics > Enable SFX analytics Profiles details in talent network)
An upgraded pie chart visualization of which sources are working well to help bring in new contacts into the Talent Network is added under Analytics > Click ‘View Details’ on the Talent Network map card to get to the Talent Network Overview page - this page shows the Contact Source pie chart (if enabled through feature permissions for your role: Feature Permissions > SFX Analytics > Enable SFX analytics contact source report in Talent Network). While the existing pie chart showed the split of ATS vs Media Vs Others, this was a mix of method and source data. The updated pie chart will show the spit by Contact Source as per the last influencer logic
Custom Folder Hierarchy in CRM
The Folder Hierarchy feature is an organizational structure of one or more folders and allows recruiters to organize their talent community into individual folder hierarchies. This gives users the ability to segment their talent community how they want.
What is it?
Each folder hierarchy can have up to 7 folder levels including the root folder, and existing customer folders will start at level 1.
Users can move folders around and change their folder hierarchy by using the key actions introduced with this feature - Create sub folder and Move.
Also, the Folders page has been redesigned and now has a very similar layout to the Contacts page with search functionality built-in. Search results can be filtered based on Keyword, Created by, Created on, and Folder ID.
On the Contacts page, when using the Folder search filter, users will see the folder's location in its corresponding folder hierarchy:
"SFX Folder List Feature" enables the redesigned Folder Listing page. To enable this setting, navigate to Tools > Feature Permissions > Main Menu > SFX Folder List Feature.
